Terms of Service
Last updated October 28, 2026
These terms apply when a business (“you”) signs up for or uses CayTone Control, CayTone Voice, CayTone Fax and related services (the “service”). The person who accepts them confirms they are authorized to do so for the business. If you don't agree, don't use the service.
Your account
- Give accurate business and contact details and keep them current. We may verify them, including by calling the phone number you provide.
- You are responsible for your users, their credentials and everything done through your account, including calls and messages your users or devices place.
- Tell us right away at support@caytone.com if you believe your account or a device has been compromised.
Free trial
New accounts may start with a free trial. During a trial, calling is limited to the United States, U.S. Virgin Islands, Puerto Rico and Canada, daily calling minutes are capped, and phone numbers can't be ordered or ported until the account is activated. We may end or limit a trial at any time, including to prevent fraud.
Plans, billing and cancellation
- Service is priced per enabled extension per month, plus any features and extras you choose à la carte. Annual billing is charged in advance at the discounted annual price.
- Extensions you add, and items or upgrades you choose, take effect immediately with a prorated charge for the rest of the period. Extensions you remove or disable, and items you drop, stop being billed at your next renewal.
- Monthly plans have no long-term contract. You can cancel at any time and service continues to the end of the paid period. Fees already paid are not refunded except where required by law.
- Usage beyond your plan (for example international calls once enabled, or extra fax pages) is billed at the rates shown in CayTone Control.
- Each AI receptionist includes a monthly allowance of AI-answered call minutes, shared across your company and reset on the first of each calendar month (UTC); unused minutes do not carry over. Each call counts in whole minutes, rounded up. Minutes beyond the allowance are invoiced after the month ends at the per-minute rate shown in CayTone Control, including on annual plans. We email your account owners and billing contacts at 80% and 100% of the allowance.
- If an invoice goes unpaid, we may limit or suspend the service after notice.
Acceptable use and fraud
Don't use the service for anything unlawful, for unsolicited or deceptive calls or texts, robocalling, spoofing caller ID, or to resell service without our written agreement. We set calling limits and block high-risk destinations to protect you from toll fraud, and may suspend calling or an account when we see activity that looks fraudulent. You remain responsible for charges from use of your account.
Emergency calling (911/E911)
CayTone is an internet-based phone service. Emergency calling may not work, or may send the wrong location, if your internet connection or power fails, if a device is used away from its registered emergency address, or where emergency service is not supported. Keep each line's emergency address current in CayTone Control, and make sure everyone who uses the service knows these limits. Emergency calling capabilities vary by country and territory.
Phone numbers and porting
Numbers we assign to you are provided for your use while your account is active, subject to carrier and regulatory rules. Porting depends on your current carrier and market. If you leave, we will release numbers you ported in, or that we assigned, to a new provider on a valid port request, provided your account is in good standing.
Your data
You own your business's data. We process it to provide the service as described in our Privacy Policy. You are responsible for any notices and consents required for call recording and messaging in your jurisdictions.
Service availability
We run the service across several regions with automatic failover and post incidents at status.caytone.com, but we don't guarantee it will be uninterrupted. Planned maintenance is announced there in advance where practical.
Liability
To the extent the law allows, the service is provided “as is”, and CayTone is not liable for indirect or consequential losses, lost profits, or the cost of substitute services. Our total liability for any claim is limited to the fees you paid for the service in the three months before the claim.
Changes and contact
We may update these terms and will notify account administrators of material changes before they take effect. Questions: support@caytone.com.
